Ace Basin Rentals is an independent vacation rental concierge service — we are NOT the property owner. We list properties sourced from multiple platforms and property managers across the SC Lowcountry. When you book through Ace Basin Rentals, you are engaging our concierge service to facilitate a reservation with a third-party property owner or host.
All nightly rates, cleaning fees, and security deposits are set by and paid directly to the property owner or host. Ace Basin Rentals does not control property availability, house rules, check-in/check-out procedures, or property condition. The property owner or their designated manager is responsible for the property.
1. The $100 Booking Service Fee
Ace Basin Rentals charges a $100 non-refundable booking service fee per reservation. This fee covers:
- Concierge coordination between you and the property owner/host
- Booking confirmation and reservation management
- Pre-arrival communication and check-in coordination
- Guest support during your stay
- Local knowledge and recommendations
2. Refund Policy — Service Fee
The $100 booking service fee is non-refundable once a booking confirmation has been sent. This policy reflects the time and coordination work performed at the time of booking.
Exceptions where a full refund of the service fee may be issued:
- The property owner cancels the reservation and no comparable alternative is offered
- The property is materially misrepresented in the listing (significant discrepancy between described and actual condition)
- A booking request was made but confirmation was not yet sent (cancellation within 2 hours of booking request)
To request a refund of the service fee under these exceptions, contact us within 48 hours of the triggering event at info@acebasinrentals.com.
3. Refund Policy — Nightly Rates and Host Fees
Refunds of nightly rates, cleaning fees, and security deposits are governed by the individual property owner's cancellation policy, not by Ace Basin Rentals. We will communicate the applicable cancellation policy to you before confirming your booking.
- Security deposits are refunded by the property owner, typically within 7 days of checkout, subject to inspection
- Cancellation refunds for nightly rates depend on the host's policy (flexible, moderate, or strict)
- Cleaning fees may or may not be refunded depending on cancellation timing per host policy
We will do our best to advocate on your behalf in any disputes with property owners, but ultimate refund decisions rest with the owner or their platform.
4. Booking Process
When you submit a booking request through Ace Basin Rentals:
- You will receive a booking request confirmation email within 15 minutes
- Our team will verify availability with the property owner/host, typically within 2–6 hours
- Upon confirmation, we will send a formal confirmation email with check-in details and host contact information
- The $100 service fee is charged upon confirmation
- Nightly rates and other host fees will be collected per the individual property's payment terms
5. Not the Owner — Third-Party Relationships
Ace Basin Rentals acts solely as a booking intermediary. We do not own, manage, maintain, or inspect any of the properties listed on our site. Properties are independently owned and operated by their respective owners or property managers.
We cannot guarantee the condition, cleanliness, accuracy of listing photos, amenities, or availability of any property. While we vet listings to the best of our ability, we rely on information provided by owners and are not responsible for inaccuracies.
Your stay is ultimately governed by the agreement between you and the property owner or host. House rules, pet policies, occupancy limits, and checkout procedures are set by the owner and will be communicated to you prior to arrival.
6. Guest Responsibilities
- Respect all posted house rules and occupancy limits
- Report any property damage promptly to both the owner and Ace Basin Rentals
- Vacate the property by the agreed checkout time
- Leave the property in reasonably clean condition
- Do not host unauthorized parties or events unless explicitly approved by the owner
7. Liability Limitation
Ace Basin Rentals is not liable for injuries, property damage, theft, or any other losses occurring during your stay at a property. Our maximum liability is limited to the $100 service fee collected. All other claims must be directed to the property owner, their insurer, or applicable platforms.
8. Governing Law
These Booking Terms are governed by the laws of the State of South Carolina. Any disputes shall be resolved in the courts of Colleton County, South Carolina.
